How to Qualify a Lead Quickly – A 10-Minute Approach

In sales, time is precious. Did you know that about 80% of marketing leads never convert into actual sales? That’s a lot of wasted effort if you don’t qualify your leads quickly. So, how do you sift through the noise and identify the top 20% that will convert?

The key is to qualify your leads fast while earning their trust—all in just 10 minutes. Here’s a streamlined approach to help you do that. 

  1. Start Strong (Minute 1)

Set the tone straight away. Let the prospect know you’re here to qualify, not to sell. Position yourself as someone who will help them if it’s a good fit, and reassure them that it will be a quick call. 

Example:
“What we’ll do on this call is find out if I can help you. If I can’t, I’ll point you in the right direction. Is that okay?” 

  1. Understand Why They Came to You (Minute 2)

Ask how they found you and why they’re reaching out. This gives you context on how warm the lead is. 

Example:
“Where did you hear about us, and why now?” 

  1. Get an Overview of the Prospect (Minute 3)

In one sentence, have them explain who they are and what they do. This helps you determine if they match your ideal customer. 

Example:
“Tell me in 30 seconds, what does your business do and who do you help?” 

  1. Identify Their Goal (Minute 4)

What do they want to achieve? Understanding their goals allows you to frame your offering as the solution. 

Example:
“What’s your key metric, and where would you like to see it in the future?” 

  1. Understand the Roadblocks (Minute 5)

Ask what’s preventing them from reaching their goal. This helps you identify the pain points you can solve. 

Example:
“What do you think is missing right now?” 

  1. Clarify Their Expectations (Minute 6)

Find out what they’re expecting from you. Are they realistic, or are their needs outside of what you offer? 

Example:
“How were you hoping I could help you today?” 

  1. Assess Urgency (Minute 7)

Determine if their need is immediate. If not, they might not be a priority lead. 

Example:
“Is this an immediate need for you, or something for later?” 

8-9. Restate Their Needs (Minutes 8-9) 

Rephrase their problems back to them. This shows you’ve been listening and positions you as the solution. 

Example:
“Based on what you’ve shared, it sounds like you want [outcome], but [problem] is holding you back. Does that sound right?” 

  1. Close the Call (Minute 10)

By now, you’ll know if they’re qualified or not. If they are, explain the next step. If they’re not, politely end the call and refer them elsewhere if possible. 

Example (qualified):
“Good news, I can help with [problem]. The next step is [next action].” 

Example (not qualified):
“I don’t think we’re the right fit, but I know [another company] that could help you.” 

In just 10 minutes, you can effectively qualify leads, saving you time and focusing your energy on prospects who are more likely to convert. The goal is to be quick, focused, and helpful—making sure you build trust while determining if they’re a good fit for what you offer.
