Stay On Top

Let me share a story that might resonate with many of you.

A few months ago, I was having a conversation with one of our clients. She sighed and said, “Shweta, my Monday meetings always feel like a drag. They’re scattered, unproductive, and honestly, a waste of everyone’s time. How do I make them more impactful?”

That question got me thinking, and I smiled. “I’ve got just the thing for you,” I said. And that’s when I introduced her to the Six-Point Friday Email, a simple yet transformative strategy we use at Growth Idea. It’s not just about organising meetings; it’s about aligning your team, fostering reflection, and setting the tone for the week ahead.

In this blog, I want to share this strategy with you because it completely changed the way our client’s team approached their Mondays. Let’s dive in.

Stay On Top With The Six-Point Friday Email

Here’s how it works: By the end of Friday, before anyone signs off for the week, every senior team member sends a concise email to their manager. The email covers six key points, focusing on key achievements, challenges, priorities, and any necessary clarifications.

The Six Points

1. What was your key achievement this week?

Encourage your team to reflect on the one significant accomplishment that stands out. Instead of focusing on every small task completed, have them highlight the most impactful success. Achievements aren’t just about ticking off routine tasks; it’s about what they did extraordinarily well—something that pushed their limits, had a lasting impact, or exceeded expectations. This will help your team recognise their progress, celebrate victories, and demonstrate their ability to excel.

2. What was your key challenge this week?

Ask your team to identify the most significant obstacle they faced. This could be anything that slowed their progress, made tasks more difficult, or required overcoming a barrier. Whether it’s time management issues, resource limitations, technical difficulties, or gaps in required skills, it’s important for them to acknowledge these challenges. This will help them find solutions, improve in the future, and prevent similar obstacles from hindering their progress.

3. What’s your top focus for the coming week?

Have your team narrow down their focus for the next week. Rather than listing everything on their to-do list, encourage them to identify the one priority that’s most critical for the company’s success. What is the major goal for their role that aligns with business objectives? Focusing on the most important task ensures clarity, productivity, and that their efforts are in line with the company’s key goals for the upcoming week.

4. What was your top learning this week?

Encourage your team to reflect on the valuable insights they’ve gained. Whether through overcoming challenges, problem-solving, or collaborating with others, identify the learning that has helped elevate their skills or mindset. These reflections should directly contribute to their growth and the success of the company. This will also provide a way to monitor how your employees are progressing in developing their capabilities.

5. What questions or clarifications do you need?

Create an open line of communication. If your team has any uncertainties regarding tasks, projects, or expectations, asking for clarification will help ensure that everyone is on the same page. This proactive approach not only reduces the risk of mistakes but also eliminates potential roadblocks, promoting a smoother workflow.

6. What should you know or might want to know?

This is the section for any relevant updates or insights that might not need immediate action but are important for context. It could be an update on a project, valuable feedback, or information that could be useful for the rest of the team or the business as a whole. This allows employees to keep leadership informed without overwhelming them with too many details, ensuring transparency and a well-informed management team.

Why It Works

Here’s why the Six-Point Friday Email is so powerful:

  • For Leaders: You gain a clear picture of what’s happening, allowing you to steer the team strategically.
  • For Team Members: It encourages accountability, reflection, and focus.

But the real magic lies in the discipline it cultivates. By reflecting on their achievements, challenges, and priorities, your team members become more mindful and proactive.

Making Your Email More Impactful

Your weekly email should reflect the effort and dedication you bring to your role. It’s an opportunity to showcase your expertise and demonstrate that you’re not just completing tasks but excelling in your responsibilities. And for that, here are the attachments I recommend adding to your Friday email:

  1. Weekly Task Planner: A weekly planner is a great tool to keep your tasks organised and well-prioritised. It ensures you know exactly what needs to be done each day of the week, helping you stay on track and focused. To make it even more effective, consider creating a 13-Week Planner. This expands on the weekly planner by breaking down quarterly goals into actionable weekly tasks. It not only helps you maintain daily productivity but also aligns your weekly efforts with long-term objectives, ensuring consistent progress throughout the quarter.
  2. Dashboard: A dashboard is a visual summary of key metrics or project updates that provides a quick, at-a-glance view of your performance. It could include things like sales figures, project milestones, or other measurable data relevant to your role. The dashboard helps you track progress, spot trends, and quickly identify areas that need attention.

But even if they don’t have a planner or tracker, the email’s six key points will do the trick.

A Simple Habit for Lasting Impact

I’ve seen this strategy work wonders time and again. Not only does it set the stage for productive Mondays, but it also fosters a culture of growth, clarity, focus, and continuous improvement.

So, if your Monday meetings feel like they’re dragging, why not give this approach a try?
